Trust & control

Know what the software
can do. And who approves it.

Finance automation needs clear boundaries. We agree the data, permissions and review requirements with your team before connecting a process.

An example: accounts payable

Preparation, review
and payment are
different decisions.

In our demo, a quantity mismatch holds the invoice for review. A correction must pass the checks before approval. Payment release remains a separate step.

Illustrative workflow. The approval rules for your project are agreed with your team.

Decisions to make
before the build.

These are project requirements to resolve with finance and IT. The chosen architecture and agreement need to support them.

Access
Which records the software can read, which actions it can take and who can change those permissions.
Data handling
Where information is processed and stored, retention periods, and the terms governing any model provider’s use of data.
Human approval
Which outputs are drafts, which exceptions stop the process, and who can authorize consequential actions.
Review evidence
Which source documents, corrections and decisions need to be retained, and who can inspect them.
Operating responsibility
Who maintains each part of the process, how access is removed and what happens when the service changes or ends.

Questions for your review.

Where will our data live?

That depends on the agreed hosting and processing arrangement. Confirm the systems, locations and external providers involved before granting access.

Will a model provider use our data for training?

The answer depends on the provider, service and terms selected for your project. Any restriction on training use needs to be agreed and supported by that setup.

How do we check the output?

Define the source evidence, checks and approval record the process must provide. Then test representative work and exceptions with the responsible reviewers before accepting it.
